Start with the expected foundation
A serious shop platform should handle customers, vehicles, appointments, estimates, repair orders, digital inspections, parts and labor, invoices, payments, technicians, documents, reporting, and permissions. If one of those areas is missing, the shop usually fills the gap with another disconnected tool.

- Technician assignments and job status
- Payments, expenses and profitability reporting
Then evaluate continuity
The bigger question is whether information carries forward. An appointment should not be retyped during intake. An authorized quote should not become a separate repair order with a new identity. A diagnostic report should stay attached to the work and a financial number should open the record behind it.
Ask the vendor to follow one sample vehicle from the first phone call through scheduling, intake, diagnosis, approval, repair, payment, follow-up, and the next visit.
Check permissions with real scenarios
Role names are not enough. Test what a technician, service writer, outside Partner, customer, and platform support user can actually see and change. Financial records and unrelated customer work should not appear simply because someone has access to one assignment.
- Can a Partner see only the assigned work?
- Can a customer opening a link accidentally authorize work?
- Can an administrator browse tenant financials?
- Are original documents and corrections preserved?
Demand an honest integration status
A logo in an integration catalog is not proof of a working connection. Confirm whether the service is included, available with your plan, requires provider setup, or is request-only. Ask what data moves, which party charges for it, how consent works, and how the connection can be repaired or removed.
